# Small Team, More Depth: What We’re Learning with HubSpot

 By  [Kevin Corrigan](https://tkd2group.com/blog/author/kc)  ·   5 minute read

A small business-development team has to cover a lot of ground: understand manufacturing capabilities, identify the right customers, keep conversations moving, evaluate opportunities, and make sure a useful detail from last month is still available when it matters.

At TKD², our aim in adopting tools such as HubSpot is to give that work more depth without making longer hours the operating model. We want better preparation, clearer context, and more deliberate follow-through.

Our HubSpot account opened in April 2025. Reviewing the available history through October 2026 reveals an interesting  journey so far: establishing a shared database, bringing opportunities into pipelines, testing outreach tools, and developing a consistent publishing process. It also reveals gaps we still need to close.

The goal is to give a small team more context and better judgment—not simply a longer list of tasks.

## First, put relationships and opportunities in one place

Sustained recorded CRM activity began in July 2025. During July–September, 552 contact records and 151 deal records were created. That provided the beginnings of a shared view of people, companies, and opportunities.

For a manufacturing-focused team, context matters. A conversation may involve a sourcing manager, an engineer, a plant team, and a supplier with a particular process capability. The next useful action depends on understanding how those pieces fit together.

A CRM gives us a place to connect that information. Its value depends on whether we capture what another team member needs to prepare for the next conversation: the requirement, the constraint, the history, and the reason to follow up.

## Next, learn the difference between coverage and engagement

The database expanded in distinct waves. October 2025 and March 2026 together account for roughly 5,000 contact additions. Today, the account holds approximately 8,200 contact records.

About 77% originated through imports; that distinction matters. Adding an existing relationship or a researched prospect to a system is useful, but it is not the same as generating a new lead or creating an active customer relationship.

The review found a recorded last-contacted date for roughly 1,400 contacts. This field does not capture every possible interaction, but it is a useful reminder that a database needs prioritization. Product alignment, likely volume, geography, sourcing needs, and timing should determine where we spend attention.

A larger database gives us broader coverage. Qualification tells us where our attention can make a difference.

## Small team. More depth.

Build shared context. Make opportunities visible. Keep improving the process.

### More relationship activity captured

Q1 2026 · 24 meeting records

Q2 2026 · 86 meeting records

Q3 2026 · 101 meeting records

Organize → Connect → Qualify → Learn

Source: TKD² HubSpot account review, October 21, 2026. Contact total rounded; pipelines and published posts are current snapshots. Meetings are logged or synced records, not verified completed customer meetings. These figures do not measure time saved or prove productivity gains.

## Make the pipeline fit the business

We use two pipelines: one for end-customer opportunities and another for companies considering a TKD² client relationship. These are different sales processes and deserve different views.

The end-customer pipeline reflects manufacturing decisions: prospect, qualified lead, RFQ received and costing, quotation submitted, and outcome. It also distinguishes quotations with different probabilities of winning, cancelled programs, and decisions not to quote.

That structure helps us ask more useful questions. Has the customer supplied enough information to quote? Is the opportunity commercially realistic? Is a program delayed, cancelled, or lost to another supplier? Should the supplier commit engineering and estimating resources?

A decision not to quote can be the right decision. Making that outcome visible helps a small team focus its effort. It also gives clients a more meaningful view than a single undifferentiated list of “opportunities.”

We cannot reconstruct every stage change from the records reviewed, so we would not claim that the pipeline became more effective in a particular month. What is clear is that the current structure supports a more specific conversation about opportunity quality.

## Connect the tools to preserve context

Calendar synchronization and integrations have become part of the workflow. The account contains 24 meeting records in the first quarter of 2026, 86 in the second, and 101 in the third. Most of the later records came through calendar synchronization.

Over the same quarters, outgoing email records moved from 858 to 844 to 644. More meeting activity was being captured without a continual rise in logged email volume.

The meeting records include incomplete outcomes, and synchronization affects what becomes visible. Still, it illustrates why connected tools matter: a calendar event can become part of the relationship history instead of remaining isolated in one person's calendar.

LinkedIn-related integration also appears in the data, with Hublead accounting for more than 450 integration-created contacts. The practical opportunity is continuity between prospect research and CRM follow-up. An imported profile still needs qualification and a relevant reason to engage.

## Test automation selectively—and evaluate the result

Sequences received a concentrated trial in March and April 2026. Available records show 112 contacts enrolled, 115 total enrollments, and 181 sequence-linked email records through May, with nine recorded email replies.

For us, the useful evaluation is whether a sequence supports a relevant conversation and reliable follow-up. Manufacturing outreach often depends on a specific capability, application, or sourcing problem. Repeatable steps can help, while the substance still requires judgment.

Our evaluation of Sequences isn't over yet but, to be blunt, we haven't yet seen the value to warrant the cost.

## Build a publishing habit, then improve distribution and measurement

The account now contains 75 published blog posts, including 40 with newsletter or "Monday Coffee" editions in their titles. Blog records expanded in January 2026, although some carry earlier publication dates and may reflect migration or backdating.

This has created a body of material on manufacturing, sourcing, localization, and market developments. It gives us material to bring into relevant customer conversations and a place to explain our thinking in more depth.

The tracked inbound results remain modest: the blog analytics report shows 350 views, two submissions, and one new contact during the review window. Tracking coverage and readership outside the website need to be considered, but publishing volume alone is not evidence of a successful acquisition channel.

Across the wider website, the [product portfolio](https://tkd2group.com/portfolio) recorded approximately 5,100 views. Our [Beyond Incentives guide page](https://tkd2group.com/localization-beyondincentives) recorded 467 views and three submissions. These results give us specific places to examine how visitors move from interest to a useful conversation.

Buyer Intent and AI-search visibility are also areas of experimentation. Intent-sourced company records show the feature is being used. Visibility monitoring gives us another way to examine discoverability. Neither should be described as a proven source of new business without connecting the signal to qualified activity and outcomes.

## What still needs work

The review exposed some straightforward process gaps. Many meeting outcomes are blank. Structured loss reasons are unfilled. Only one of 303 open deals had a populated next-activity date at the time of review.

In short - Garbage in, Garbage out.

These gaps do not establish that follow-up is absent. They establish that the system cannot reliably demonstrate it. Capturing activity automatically is useful; recording the decision, owner, and next step is what makes the history actionable.

For a small team, the next improvement does not have to be another feature. It may be a consistent habit: close out the meeting, record why the opportunity changed, and agree on the next action.

Working smarter means preserving what we learn, making the next decision clearer, and avoiding work that does not advance the client's goal.

## What this means for our clients

Our use of HubSpot is part of a broader effort to combine manufacturing experience with a repeatable business-development process. The intended benefit is a team that can prepare with more context, qualify opportunities more carefully, and maintain continuity across a long sales cycle.

We have not measured hours saved, so we do not claim a time-saving percentage or a productivity multiplier. Our objective is to increase the depth and usefulness of the work within the time available—and to judge the tools by whether they help us do that.
